Where Rosetta IT Solutions adds value is threefold:
We will collect all your customer and sales contact data from your existing systems, be they spreadsheets, Access databases, paper lists or whatever, and bring it together into one database, structured to reflect the way you do business.
We will check for duplicates and incomplete records so that you get a clean database with consistently formatted records that can easily be kept up to date.
At any time the system will identify for you all those customers and contacts who meet your criteria for sales and marketing campaigns and will keep track of progress with each one (provided you tell it). It will prompt you to take action and contact people according to the rules you want to work to.
You can print lists, labels, letters and reports at any time – and be confident that your letters are going to the right people at their last known address. You can check at any time when your previous contacts with someone were and what happened so that your knowledge of the situation is up to date when you speak to them – whether you call them or they call you!
And with one, integrated system, it is much easier to comply with the Data Protection Act than if your contact records were spread over multiple systems.
- Integration with other systems
Having created the contacts database we will integrate it with your other systems, such as your accounts system and customer support, so that critical customer information is shared and the different systems don’t get out of phase with each other. For example, if you record a change of customer address or someone new taking over as your customer’s buyer this information will be communicated to your other systems to avoid anomalies, mistakes, confusion and lost revenue.
Maintenance of accurate and up to date customer information becomes much easier all round. We can set the system up so that recording an order on the CRM system alerts your goods dispatch, invoicing and cash collection procedures. A customer’s entitlement to support or service can be checked whilst they are on the phone so as to avoid any embarrassments or waste of resources.
We will need your input to tell us how you want to use the system and what customer groupings and other identifiers you want us to include; at the same time we will advise you on how to make best use of the system and give you tips based on our experience. We will check with you that we are setting the system up as you want it and you and your staff will be trained in how to use the system as an integral part of the implementation service.
By the time we have finished you will be using a fully operational CRM system that has been tailored to your needs.
